Your prompts are the questions that control how AI models talk about your brand. Well-designed prompts reveal whether models understand your positioning, recommend you for the right use cases, and mention you alongside the right competitors.

RankFlo’s Prompts workspace lets you create, manage, and optimize these queries so you can shape and measure [brand]'s AI presence across multiple models.

With RankFlo you can:

What Prompt Management Does?

Each prompt in RankFlo represents a real search or conversation a user might have, such as:

  • “What tools can help reduce wait times for prospects during inbound sales?”
  • “Can you recommend alternatives to [brand] for [use case]?”
  • “What features should I look for in a [category] platform?”

The Prompts view shows:

  • Visibility – how often your brand appears for that prompt.
  • Prompt text – the exact query sent to models.
  • Type – organic, competitor comparison, or brand-specific.
  • Intent – such as commercial or informational.
  • Volume – relative search or demand potential.
  • Difficulty – how competitive the query is.
  • Brands – which brands are commonly surfaced.
  • Responses – how many AI responses have been collected.

This gives you a prompt-by-prompt view of how well your brand is performing.


How to Use the Prompts Workspace

Step 1: Open the Prompts page

  1. In the left sidebar, go to Monitoring → Prompts.
  2. You will see the All Prompts table and summary bars for Types and Intents.

Step 2: Create prompts for your brand

  1. Click Create Prompts.
  2. Add several prompts that reflect how buyers actually search:
    • Organic discovery queries
    • Competitor comparison queries
    • Brand-specific queries
  3. Assign each prompt a Type and Intent so results stay organized.

Step 3: Connect prompts to monitors

Prompts are used by your Monitors to test how AI models answer.

  • Reuse the same prompt set across multiple AI models.
  • Ensure core prompts cover your main categories, use cases, and competitor sets.

Step 4: Analyze performance

After monitors collect responses, return to Prompts to review:

  • Visibility % for each prompt
  • Which brands appear most often for that query
  • How many responses you have for each prompt

Use this to see where [brand] is strong, weak, or absent.

Step 5: Optimize and iterate

Improve performance by:

  • Refining prompt wording to better match how users search
  • Adding new prompts for emerging use cases
  • Adjusting Types and Intents for better segmentation
  • Scheduling automatic prompt refreshes so models are tested regularly

Small prompt changes can result in big differences in how often and how well your brand is mentioned.
